Job Description

Executive Office Management

  • Manage the CEO's complex calendar, travel and stakeholder engagements
  • Prioritise meeting schedules in alignment with business objectives
  • Coordinate internal and external executive communications



Strategic Planning & Business Support

  • Prepare board presentations, executive briefings and strategic reports
  • Conduct research and analysis to support business planning and decision-making
  • Monitor progress of critical business initiatives and strategic projects
  • Support the CEO in identifying priorities and following through on execution



Cross-functional Leadership

  • Partner with business leaders to coordinate organisation-wide initiatives
  • Facilitate communication and alignment between leadership teams
  • Track key action items and ensure timely completion of deliverables



Client & Market Engagement

  • Support client relationship management activities
  • Participate in key client meetings and strategic discussions where appropriate
  • Assist with business development initiatives and market-facing activities



Operational Excellence

  • Support budget management and cost monitoring
  • Drive process improvements within the CEO Office
  • Help organise leadership offsites, management meetings and strategic workshops



The Successful Applicant

What We're Looking For

  • Bachelor's degree or above
  • 8-10 years of experience in Executive Assistant, Chief of Staff, Business Management, Executive Office or Strategic Coordination roles
  • Experience within insurance brokerage, financial services, consulting or professional services environments preferred
  • Strong commercial acumen with the ability to understand business priorities and leadership dynamics
  • Exceptional stakeholder management and communication skills
  • Strong PowerPoint and executive presentation preparation capabilities
  • Excellent organisational and project management skills
  • Ability to work independently in a fast-paced, high-expectation environment
  • Fluent in both English and Mandarin, with strong business writing skills
