About Our Client

Phone answering- take and distribute accurate messages
Coordinate messenger and courier service
Receive, sort and distribute incoming postal mail
Monitor and maintain office supplies
Ensure office equipment is properly maintained and serviced
Manage Ayi pay and job are accurate and proper and the office is tidy and clean;
Filing- contract/bills paperwork management;
Perform work related errands as requested such as going to the post office, bank & printer; taking & picking up lunch orders
Ensure office, training rooms and desk areas clean and tidy
Issue Weekly report to shops and office team
Fulfill the weekly blue bag orders
Monitor and maintain the small equipment ordering for shops
Assist with event planning and activities as required
Maintain Shanghai directory and contact details
Coordinate with office building management as necessary
Work with Finance to ensure
payment consistency with contracts:
coordinate and follow-up on expenses
Coordinate with bookkeeping agency and provide necessary supports as required;
Coordinate on auditing and compliance matters;
Coordinate with the banks locally on Company's daily transactions.
Provide assistance to Supply Chain set out as below but not limited:
Warehouse product set-up and auditing;
Supplier contract management and follow-up;
Human Resource Support
Support new recruitments include liaise with head hunters and arrange interviews, etc.;
Coordinate with local agency to be responsible for the government mandatory benefits programs;
Coordinate with local agency to comply with the local HR regulation;
Coordinate with local agency to provide visa and work permit support.
Assist the Training team with printing, binding and distributing training workbooks
The Successful Applicant
Fluent in English and Mandarin
At least 5 years working experience in Admin/Secretary positions in multinational company.
Competent computer skills including MS Office or equivalent
Internet skills including use of e-mails and group messaging
Numeracy and literacy skills
Attention to detail
Able to work under pressure and deliver within tight deadlines
Able to communicate effectively (verbal and written)
Able to use initiative and work on own
Able to plan work effectively
